Batch WE-TIME-2026-16

Every batch has an explicit state that is recorded, never inferred. A batch is not “probably imported” because a file was downloaded a while ago — somebody says so, and the system remembers who and when.

All four validation passes are clean
Checked on the device, again on submission, again at approval, and once more
when the batch was assembled. If one line had failed, no file would exist —
a batch is all or nothing on our side, because Sage’s import is not.

Column order follows the custom time entry view defined in your Sage under Tools → Customize Time Entry — position is meaning, and there is no mapping step at import. The layout above is representative; the real one is read from your view, not built into the software.
The duplicate-import guard
An approved hour can belong to at most one live batch — enforced by the
database itself, not by a rule someone has to remember to call. Re-importing
a partly-failed file is the classic way hours get paid twice; the system
will not build a second file for hours it has already handed over. Failed
lines come back as a new, separate batch of their own.

13R is a remediation batch: fourteen lines Sage rejected the first time, rebuilt as a new batch with its own identity. The original file is never edited and never re-sent.
A posted batch is immutable — corrections ride the next cycle. Before
posting, a mistake is fixed by hand in Sage’s time entry. Once the hours are
in a paycheck they cannot be edited, withdrawn or re-imported, so the software
never offers a “resubmit” button that would only create a second payment. The
useful window is between import and posting, and the system’s job is to get
anything you need to know to you inside it.
Sage keeps doing what Sage does: gross-to-net, taxes, fringes and certified
payroll reporting. WE Time captures and validates the hours and hands over one
file. Nothing is ever written back into Sage.
