Two shelves, not one folder tree. A company file is one document that 185 people read. An employee file is 185 documents that one person each may read. They look alike on screen and behave nothing alike underneath, so they are separated here rather than sorted into folders somebody has to police.

Day 4 of the campaign Reminders: day 7, day 14 Version 2026 v1.1

A campaign is an object with a start, a target list and a running count — not an email somebody remembers to send. Your handbook is revised each July and the July campaign closed at 181 of 185; this one is out of cycle, and it is the same machinery with a different trigger. Because acknowledgments bind to a version, the 181 people who signed the July text are correctly counted as outstanding against the corrected one.

The number that matters is the small one Twelve of 185 on day four is exactly what you would expect, and it is visible on day four rather than in September. Knowing a campaign is behind while it can still be fixed is most of the value.

The three locked rows are not in the same store as the three above them. Identity documents and tax forms live in restricted storage with their own access rules and their own audit trail — every open is recorded, including the ones by people who are allowed.

What a file carries besides its bytes

A version, not a filename
“handbook-2026-final-v2-USE-THIS.pdf” is a filing system pretending to be a version number. Here the version is a field.
An audience
Everyone, a division, a position, or one person. Set on the file, evaluated at read time.
An acknowledgment state, where it needs one
And the acknowledgment points at the version, so republishing correctly makes 185 people outstanding again.
A frozen copy of what was signed
Not a link to the current document. The signed copy is what can be produced later, and it must not move when the live file does.
What this screen teaches. The re-acknowledgment campaign is the reason files belong in the HR system rather than in a shared drive. A drive can hold the handbook; it cannot tell you that 12 of 185 have accepted the corrected version, on day four, and remind the other 173 on day seven.
