One change from your current order — worth a minute Today the I-9 and W-4 are signed before the electronic-signature consent. Consent is the thing that makes an electronic signature binding, so a signature collected before it stands on weaker ground than it needs to. The order below puts consent first. Which task moves is your call, not ours — but the system enforces the dependency either way, rather than trusting the screen order.

New hire checklist

In order
  1. 1 Electronic signature consent Agree to sign and receive documents electronically. Gate — everything signed comes after this
  2. 2 Form I-9 Complete and sign. Employment eligibility verification. Binding signature
  3. 3 Form W-4 Complete and sign. Federal withholding. Binding signature
  4. 4 Identity document uploads ID card, driver’s license, electrical license. Restricted storage
  5. 5 Benefits review Read through the plan summary. Enrollment stays with your benefits platform. Review only
  6. 6 Tool list Review the tools an apprentice is expected to bring. Review only
  7. 7 Drug and alcohol policy Acknowledge. Version July 2026. Binding signature
  8. 8 Safety equipment Acknowledge. Version July 2026. Binding signature
  9. 9 Employee handbook Acknowledge. Version July 2026. Binding signature
  10. 10 Non-harassment policy Acknowledge. Version July 2026. Binding signature

Every July, everyone signs again

Your handbook is revised each July. An acknowledgment binds to a version, not to a policy — so “has this person signed the handbook?” becomes “which version did they sign, and is it the current one?”, which is the question that can actually be answered. The signed copy is kept exactly as it was shown, so it can be produced later.

What this screen teaches. The ordering is a rule the engine enforces, not a sequence the screen suggests. A deep link, a “finish later” return trip, or a task done out of order cannot get a binding signature collected before consent — because the software refuses it, not because the layout discourages it.
