You have no applicant tracking system today — applications arrive through a
form and by fax to HR. This is the first screen in the project where a
candidate is a record rather than a piece of paper, so treat everything on
it as a proposal you get to correct.

A stage change is an event with a date and a person attached, not a column
a card sits in. “When did this candidate move to interview, and who moved
them?” has an answer.

Placeholder — no file exists in this prototype. In the
product the upload arrives with the application and is stored against the
candidate, not emailed around.
Licence verification
DOPL check — pending
Your rule is that HR verifies the Utah DOPL licence during hiring,
and the product keeps it that way. What changes is the shape of the answer:
verification is stored as a dated fact — verified, by whom, on what date,
against which licence number — rather than a tick that says only “yes, at
some point, by someone.” A candidate can advance while it is pending; the
record simply says so.
Notes
Morgan Kilowatt · Field supervisor · 12 Aug
Commercial rough-in background, comfortable on lifts.
Wants North division work. Worth a screen call.
Quinn Breaker · Office · 11 Aug
Application came in complete. Licence number supplied,
not yet verified.
A note is attached to the candidate and is visible to the people the access
rules say may see it. It is not a private mailbox thread that disappears
when somebody leaves.

Compensation
Hidden — restricted
The offer letter comes from your BambooHR template
Offer letters are written and stored in BambooHR today, and a template already
exists. We render your letter — we do not rewrite it into ours. Two
honest gaps: the template file has not been shared with us yet, so the preview
below is a stand-in; and whether these signatures need to be legally binding
e-signatures or acknowledgment-level records is still being confirmed, which
is the difference between buying a signing product and not needing one.
DOC
offer-letter-template-placeholder.docx
Stand-in for your existing template. Merge fields would be
filled from the candidate record — name, position, division, start date —
so nobody retypes them.
The compensation line is hidden on this screen on purpose. It is not blanked
out in the browser — the role viewing this page cannot retrieve it at all.

Approval is the access moment
Peyton Relay · Hired 24 Aug
A candidate is confined to the apply page until somebody says yes — no
account, no permissions, nothing to log into. The instant Peyton's card
moved into the Hired column, the same personal email on
their application was added to an admitted sign-in list
with a role attached. That row is the account. There is no
separate "create a user" step, and no Wilkinson email is issued.
From that minute Peyton can sign in: a one-time code emailed to
that address claims it once, then a password they
choose covers every sign-in after — chosen on purpose because a
crew member on a jobsite with no signal cannot receive a fresh code every
morning. Anyone with a @wilkinsonelectric.com address signs
in with Microsoft instead; either way, the admitted list is what decides
whether the door opens, not which inbox they used to apply.
The same row is how access ends
A personal email can't be switched off by IT the way a company mailbox
can — Wilkinson never controlled it. So revoking this one row, not
deleting an account, is the entire offboarding mechanism. You'll watch it
run in reverse later in the tour.

Direct feed — the one board of the four with an open
partner programme and no published size bar. Not built yet, and not yet
approved.
Direct feed (planned)
Indeed · LinkedIn · Glassdoor
WE People composes the posting once and hands it to a person
to publish — a couple of minutes per job. These platforms gate direct feeds
behind partner programmes we do not qualify for today.
Assisted posting
Why three of the four are assisted, in plain terms
Indeed requires an applicant tracking system to have at least ten paying clients
before it will approve an integration — you are our first. LinkedIn has publicly
closed its job-posting interface to new partners. Glassdoor has no direct posting
path at all any more: every Glassdoor listing arrives from Indeed, which is the
one piece of good news — whatever eventually works for Indeed covers Glassdoor
for free. None of this is a technical obstacle we can engineer around; it is
other companies' policy, and it is gated on our size, not on our code.
The half you actually care about is the easy half
Getting applicants in is not gated by anybody. Every board's “Apply”
button can send the candidate to your careers page, where they apply into this
pipeline with structured fields and a résumé file. What you give up is one-click
apply on the board itself, and that is a real cost worth naming: a candidate
applying from a phone on a jobsite is exactly who drops out of a longer form.
Board advertising is paid by you, directly to the boards — it is not part of
our fee and would not be with any vendor. Indeed changed its rules this year
and free listings now get very little visibility, so a sponsorship budget is
realistic. A ZipRecruiter employer plan is likely needed for postings to show
at all. We are applying to the partner programmes in parallel, and as those
approvals land they switch on for you at no extra cost — we are simply not
going to promise you a date we do not control.
What this screen teaches. “Syndicates to Indeed, Glassdoor, ZipRecruiter
and LinkedIn” is one sentence describing four completely different situations.
Applicants coming in is solved for all four and always will be. Postings
going out is one direct feed we expect to earn, and three that a person
publishes in a couple of minutes. We would rather show you that split now than
demonstrate a button in month seven that quietly does nothing.
